A clear record of the work.

A pool-service checklist should show what happened at this visit. Use this free printable work record for agreed tasks, measurements, observations and the next step.

Print a checklist for the next visit.

One page with space for the customer, property, operator, visit date, completed tasks, measured values and follow-up. Adapt the tasks to your agreed service scope and equipment instructions.

This is a work record, not a chemical treatment guide, safety inspection or maintenance procedure.

Record the work you actually did.

  1. Identify the visit.

Write the customer, service location, operator, date and time. Identify each pool or spa separately when recording measurements. Keep private access instructions off any customer copy.

  2. Check completed tasks, then explain exceptions.

The template includes surface skimming, brushing, vacuuming, basket work and a visual equipment check. Mark only work you performed within your agreed scope. Leave other boxes blank and note a skipped or inapplicable task instead of implying completion.

  3. Record fresh readings with units.

Use the measurement name, value, unit and body of water. Leave an unmeasured value blank or write “not measured.” The template supplies no target ranges, chemical quantities or dosing instructions.

  4. Separate observations from proposed repairs.

Describe what you observed and any relevant photos. Extra work needs its own scope, amount and customer decision; a checklist entry alone is not approval to proceed.

  5. Leave the customer a useful update.

Summarize completed work and the next action. Use the customer report example to see how a visit record can become a clear update.

Keep a record when plans change.

If access is unavailable or a task cannot be completed, record the reason and the person or date needed for follow-up. Do not carry the previous visit’s readings into the current record.

Follow your training, equipment instructions and applicable requirements for the actual service. This template only helps organize the resulting record.

Keep visits connected on iPhone.

PoolTrail saves checklists, readings, notes and photos even without a connection. Your offline visit waits to sync. Online reports and approval requests require Solo.

Pair the checklist with a daily route sheet if you prefer paper, or download the app and explore its sample route without an account.

A few practical answers.

Does the checklist tell me how much chemical to add?

No. It records observations and completed work. It does not recommend chemical doses, treatment thresholds or safe-swimming decisions.

Can I use this for a commercial-pool compliance inspection?

It is a general record for residential service work. It is not a regulatory form, certification or substitute for the requirements of a commercial facility.

Can I use the PDF without buying PoolTrail?

Yes. Download and print it for your own records. The blank PDF has no login, subscription or data-submission requirement.
