A useful pool service report answers three questions: when were you there, what did you do, and what happens next? Include the measured readings with units and separate an observation from work already completed.

From completed visit to delivered report.

  1. Capture the current visit.

    Enter readings, checklist work, notes and photos. Previous readings stay in history; a new visit does not silently reuse them.

  2. Save, then synchronize.

    Completing a visit saves it on your phone. With a connection and active Solo access, the visit and required photos sync before the report is prepared. See what happens without signal.

  3. Keep an eye on delivery.

    Confirmed report recipients receive the intended report. Saved, queued, accepted by the email provider and delivered are different states; a delivery failure needs attention.

  4. Correct with a clear version.

    If the issued report needs a correction, a new version keeps the change visible. Resend deliberately instead of creating a duplicate visit.

Your notes have different audiences.

Customer-facing work, readings, notes and selected photos belong in the report. Gate codes, access instructions and internal notes stay separate. Private report links give access to a specific document; send them only to the intended recipients.

A few practical answers.

Do customers need a PoolTrail login?

No. They open a private browser link. They can view the report on their phone and download the report PDF without installing the operator app.

Can a report send while I am offline?

No. Offline capture saves your work locally. The report waits for a connection, completed data and photo synchronization, and active Solo access before it can be sent.

Does a delivered report mean the customer read it?

No. Delivery status describes email transport. It does not prove that the customer opened the email, read the report or agreed to additional work.
