Bring your customer list along.
Start with names and service addresses. PoolTrail previews your CSV, lets you map the columns and highlights row errors and possible address matches before you import.
Start with the four supported columns.
Download a blank UTF-8 CSV with the headers below. Add one customer and service location per row in your spreadsheet, then save it as CSV. Keep an untouched copy of your original export.
No customer list is uploaded on this website. Choose the completed file inside the iPhone app.
What each column means.
Scroll the table sideways to see each column’s use.
| Header | Required | Use |
|---|---|---|
| name | Yes | The customer name you recognize; up to 200 characters. |
| address | Yes | The complete service address in one field; up to 500 characters. |
| No | One valid customer email, or leave blank. Importing it does not confirm a report recipient. | |
| phone | No | The customer’s phone text, or leave blank. No message is sent during import. |
Your existing file can use different headings: map them to Customer name, Service address, Email and Phone in the app. Each mapped field must use a different column.

Sample Morgan,"100 Example Lane, Sample City",morgan@example.com,
Sample Cedar,"110 Example Lane, Sample City",,Keep the header row. Save as UTF-8, with commas separating columns. Quote an address containing a comma, as above. The file must be no larger than 10 MB with no more than 10,000 customer rows.
Preview first. Import deliberately.
Open your business.
From the welcome screen, choose Set up my business; use Finish later to skip optional setup. If exploring the sample, open Today → Settings and use the business button in the Sample route section to leave the sample.
Choose the file.
Go to Today → Settings → Import & export → Import customers from CSV → Choose CSV file. Select the CSV from Files on your iPhone.
Review mapping and rows.
Map the four fields you want, then tap Review import. Fix missing names or addresses, invalid emails and rows with the wrong number of columns. Download row errors if you need a correction list.
Check possible address matches.
Rows matching an existing or earlier valid row’s service address are flagged. They are excluded unless you enable “Include rows with possible address matches.” PoolTrail does not automatically merge them. Review households and shared service addresses carefully.
Import, then prepare the service work.
Tap Import reviewed valid rows. Open the customers afterward to set recurring schedules, review pool details and explicitly confirm report recipients before enabling automatic reports.
A few practical answers.
Will importing send emails to my customers?
No. Importing creates customer and service-location records. It does not enable automatic reports, confirm recipients or send an email.
Does the import bring over visits, invoices or schedules?
No. This importer maps customer names, service addresses, email and phone. Set schedules in PoolTrail and retain your old system’s service history, invoices, photos and payment records separately.
Can I import an Excel workbook?
Export the worksheet as a UTF-8 CSV first. An .xlsx workbook is not the CSV format accepted by this flow. Check quoted addresses and optional empty fields in the preview.
Where does my imported data go?
In phone-only mode, it is saved on your iPhone. Connected workspaces sync records to PoolTrail’s service. Review the privacy notice and export options before connecting or moving customer information.
